Privacy Policy

Last updated October 23, 2026

Diamond Lake Productions (“we”, “us”) is a wedding photography and videography business based in Minnesota. This policy explains what information we collect, how we use it, and the choices you have. If you have a question that isn’t answered here, email us at contact@diamondlakeproductions.com.

Information we collect

  • When you contact or book us: your names, email address, phone number, wedding date, venue and any details you share about your day, plus contracts and payment records.
  • At bridal shows: if you register at a bridal show we attend, the show organizer shares the contact details you provided with participating vendors, including us.
  • On our website: information you enter in our forms, and basic technical information our website platform collects automatically (such as pages visited and browser type).
  • Your photos and films: the images and video (including audio) we capture at your wedding or event.
  • When you use your online galleries: for your film gallery, when it was opened and films were downloaded, along with your IP address, so we can confirm delivery and help if a download gives you trouble. For your photo gallery, Pic-Time records similar activity (such as visits, favorites, downloads and orders) and makes it available to us.

How we use it

  • To plan, capture and deliver your photos and films, and to communicate with you about your booking.
  • To send contracts, invoices and reminders.
  • If we met at a bridal show, to send you a short series of emails about our services. Every email includes an unsubscribe link, and unsubscribing takes effect immediately and permanently.
  • To keep our website and galleries secure and working.

We do not sell your personal information, and we do not share it with anyone for their own marketing.

Your online photo gallery

Your photos are delivered through Pic-Time, an online gallery service, at clients.diamondlakeproductions.com.

  • Viewing: your gallery is private to you and the people you share its link (and password, if one is set) with. Depending on the gallery’s settings, visitors may be asked for their email address to view, favorite or download photos.
  • Downloading and sharing: you can download your photos in full resolution and share your gallery with family and friends — anyone you share it with can view your photos.
  • Prints and products: if you or your guests order prints or other products from the gallery, Pic-Time and its print lab partners process the order, payment and shipping.
  • Pic-Time handles this information under the Pic-Time Privacy Policy.

Your online film gallery

Your films are delivered on a private, password-protected gallery page.

  • Watching: your films are uploaded to our YouTube channel as unlisted videos and played in your gallery using YouTube’s player. Unlisted videos don’t appear in search or on our channel, but anyone with the link can watch. When you play a film, YouTube (Google) receives information as described in the Google Privacy Policy, and use of the player is subject to the YouTube Terms of Service.
  • Downloading: full-quality files are downloaded directly from our own servers.
  • Sharing: your gallery link and password can be shared with family and friends — anyone with them can view and download your films.
  • We use the YouTube API to upload and title our own videos. We don’t use it to access any information about you or your Google account. Our use of YouTube API Services is governed by the YouTube Terms of Service and the Google Privacy Policy.

Using your photos and films in our portfolio

We may share selected photos or a highlight film from your wedding on our website and social media, and may make your Highlight Film public on our YouTube channel. If you’d rather we didn’t, tell us at any time and we’ll keep your wedding private or take it down.

Services we rely on

We use trusted providers to run our business. They handle your information only to provide their service to us:

  • Squarespace (our website and forms)
  • Dubsado (client management, contracts and invoices)
  • Google Workspace (email) and YouTube (film playback)
  • Pic-Time (photo galleries, downloads and print orders)
  • Cloudflare (website security and delivery)
  • Backblaze (encrypted backups)

Cookies

Our website platform uses cookies to make the site work and to understand how it’s used. Your film gallery uses a single cookie to remember that you’ve entered your password, so you don’t have to type it again on the same device. YouTube may set its own cookies when you play a film, and Pic-Time uses cookies in your photo gallery.

How long we keep it

We keep your final photos and films, and your gallery, for at least five years after delivery so you can download them again if you need to. Booking and payment records are kept as long as required for tax and legal purposes. Bridal-show contact details we never hear back about are removed from our email list once the campaign ends or you unsubscribe.

Your choices

You can ask us to see, correct or delete the personal information we hold about you, to take your photo or film gallery offline, or to stop using your wedding in our portfolio. Email contact@diamondlakeproductions.com and we’ll take care of it. Some records (like invoices) we may need to keep for legal reasons.

Security

Galleries are password-protected and served over encrypted connections, and our backups are encrypted. No system is perfectly secure, but we take reasonable steps to protect your information.

Children

Our services are for adults planning weddings and events. We don’t knowingly collect information from children under 13.

Changes

If we change this policy, we’ll update the date at the top of this page.
